This policy explains what personal information Valcato collects through this website and when you contact us, how we use it, and the choices you have. We keep it short and only collect what we need.
Who we are
Valcato is the trading name of Valcato Entertainment Limited, a company registered in England and Wales (company number 10666857), with its registered office at Valcato Studios, Summit Business Park, Lingard Street, Stoke-on-Trent, Staffordshire, ST6 1ED. We are the data controller for the information described in this policy.
We are registered with the Information Commissioner’s Office (ICO) under registration number ZA299802.
If you have any questions about this policy or your information, email enquiries@wearevalcato.com or call 0330 223 2293.
What we collect
When you send an enquiry through our contact form or by email: your name, organisation, email address, phone number, and any details you share about your event or project.
When we work together: contact and billing details for you and your organisation, and the information we need to plan and deliver your event.
When you visit the site: anonymous visitor statistics, such as which pages are viewed, which country visits come from and how people found the site. These are collected by Plausible Analytics, which doesn’t use cookies and doesn’t collect anything that identifies you.
We don’t ask for sensitive information, and we’d ask you not to send it through the form.
How we use it, and why
To reply to your enquiry and discuss your project. Our lawful basis is our legitimate interest in responding to people who contact us, or taking steps at your request before entering into a contract.
To plan, deliver and invoice the work we do for you. Our lawful basis is performance of a contract. We also keep records to meet our legal obligations, such as keeping financial records, and use anonymous statistics to keep the website working well.
We don’t sell your information, and we don’t add you to marketing lists unless you’ve asked us to. If you do hear from us about our work, every message will include a simple way to opt out.
Who we share it with
We only share your information where it’s needed to run our business, with trusted providers who act on our behalf and keep it secure. These include our website host (Krystal, UK), our email and office software (Google Workspace and Microsoft 365), our customer relationship software (Capsule CRM) and our privacy-friendly analytics provider (Plausible Analytics, hosted in the EU). Where we work with production partners on your event, we only share what they need to deliver it.
If any provider stores data outside the UK, we make sure appropriate safeguards are in place, as required by UK data protection law.
How long we keep it
We keep enquiry details for up to two years so we can pick up the conversation if you come back to us. Client and financial records are kept for six years, in line with UK accounting rules. After that, information is deleted securely.
Cookies
This site only uses the cookies it needs to work. We don’t use advertising or tracking cookies, which is why you won’t see a cookie banner. Our visitor statistics come from Plausible Analytics, which counts visits without cookies and without identifying you; if you’d rather not be counted at all, any standard tracker blocker will stop it. Our showreel is embedded from Vimeo with tracking switched off.
Your rights
Under UK data protection law you have the right to ask for a copy of the information we hold about you, ask us to correct anything that’s wrong, ask us to delete your information, object to or ask us to restrict how we use it, and ask us to transfer it to you or another organisation.
To use any of these rights, email enquiries@wearevalcato.com. We’ll respond within one month.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
